1. Introduction

These Terms of Service ("Terms") govern your use of the ERPilotAI platform ("the Service"), operated from the United Kingdom. By registering or using the Service, you agree to these Terms.

"ERPilotAI", "we", "us", and "our" refer to the operator of the Service. "You" refers to the user of the Service.

2. The Service

ERPilotAI provides an AI-powered ERP vendor selection platform that guides organisations through a structured evaluation process, including business profiling, vendor shortlisting, RFI generation and scoring, demonstration evaluation, cost comparison, and board-ready recommendation documents.

The Service provides AI-generated analysis and recommendations to support, not replace, human decision-making. You remain responsible for all procurement decisions made using the outputs from the Service.

3. Payment

The Service is provided for a one-off fee of £1,499 plus VAT (£1,798.80 total; launch/early adopter offer, normally £2,499 plus VAT). Payment is due before access to the full vendor shortlist and detailed analysis is unlocked.

Payment is processed securely through our payment provider. The fee covers a single ERP selection project for your organisation. No subscription or recurring charges apply.

Refunds are considered on a case-by-case basis. Contact support if you believe a refund is warranted.

4. User Obligations

You must provide accurate information during registration and the business profiling process
You are responsible for maintaining the security of your account credentials
You must not share your account with individuals outside your organisation
You are responsible for all activity under your account
You must not use the Service for any unlawful purpose

5. Team Access

You may invite team members to collaborate on your ERP selection project. The number of team members is limited by your organisation's member limit. You are responsible for the individuals you invite and their use of the Service.

6. Intellectual Property

All content, software, AI models, vendor databases, and methodology within ERPilotAI remain our intellectual property. You retain ownership of the business data you provide and the documents generated through your project.

Documents generated by the Service (RFIs, demo scripts, recommendations, audit reports) are licensed to you for internal business use within your organisation's ERP selection process.

7. AI-Generated Content

The Service uses artificial intelligence to generate analysis, scores, recommendations, and documents. While we strive for accuracy and quality, AI-generated content may contain errors or omissions. You must review and validate all outputs before relying on them for procurement decisions.

We do not guarantee that AI-generated recommendations will result in a successful ERP implementation. The Service is an advisory tool, not a guarantee of outcome.

8. Limitation of Liability

To the maximum extent permitted by law, ERPilotAI shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including but not limited to losses arising from procurement decisions made based on the Service's outputs.

Our total liability shall not exceed the fee paid by you for the Service.

9. Termination

You may stop using the Service at any time. We may suspend or terminate access if you breach these Terms. Upon project closure, your data is retained for 12 months before permanent deletion.

10. Governing Law

These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

11. Changes to Terms

We may update these Terms from time to time. We will notify you of significant changes through the platform or by email. Continued use of the Service after changes constitutes acceptance of the updated Terms.
